Family resource pack

Help families understand how you deliver care

Ready-made materials that explain Birdie in your agency's own voice, and help you show the quality of your care with your Q-Score. Add your logo, then use them with your team, on your website, with families and on social media.

Why tell the people you support about Birdie?

  • It builds trust. Families can see that care is recorded as it happens, so they don't have to take it on faith.
  • It means fewer calls to your office. Families who can read visit notes on the Family App don't need to ring to check a visit happened.
  • It sets you apart. Not every agency can show families how care is delivered, or show its quality today with a Q-Score.
1Equipping your team

Get everyone telling the same story

Families ask your coordinators and carers first, so start with them. A short shared script means everyone explains Birdie in the same words, from the first phone call to the first visit.

A one-page guide so coordinators and carers explain Birdie in the same words every time. It has a 30-second explanation, answers to the six questions families ask most, and how to talk about your Q-Score.

Use it: in induction, team meetings and before assessment visits. Ready to use as it is, with no logo to add.

Show how you work before anyone calls

Families compare agencies online before they pick up the phone. A short video and a few clear paragraphs show them how you plan and record care. Your Q-Score, beside them, shows how good that care is today.

How we care video

One visit from start to finish, told in your agency's voice: the carer reads the care plan, checks in, gives medication, notes how the person is feeling, and the office is alerted if anything is missed. It ends with what families see in the Family App and a nod to your Q-Score.

Use it: as the main video on your home page or "How we care" page. Add the Family App and Q-Score videos further down for families who want more detail.

A heading, four short points on what Birdie means for families, how to join the Family App, an optional Q-Score paragraph and six family FAQs. Search engines and screen readers can read it, which a video alone can't offer.

Use it: as a section on an existing page, or as a page of its own.

Show how good your care is

Families and commissioners often judge you on a CQC report that may be years old. Your Q-Score is Birdie's quality benchmark, built in line with the CQC's categories, and shows how you're doing now. Only agencies that use Birdie have one, so put it next to your Family App video: one shows how you deliver care, the other how good it is.

Your Q-Score is not a CQC rating and doesn't predict one. Present it as how you track quality day to day.

Q-Score explainer video

What the Q-Score is, the five areas of care behind it, and why it matters to families and commissioners. Ends by inviting families to ask you for your latest score.

Use it: next to your Q-Score graphic, or in tender and commissioning packs.

Leave the answers behind

Most families decide at the kitchen table during the assessment, and many of the people you support don't go online at all. Print gives them something to keep and share with the rest of the family.

How your agency uses Birdie, how information is kept safe, and how family members get the Family App. It also answers the questions families ask most, like who sees their information and what happens if there's no signal.

Use it: in the care pack at assessment and at hospital discharge meetings.

Remind families what they can see

Families who know about the Family App feel more connected to the care, and call the office less to check on visits. A carousel at launch and an occasional reminder keep it front of mind.

One visit, step by step: the carer reads the care plan, records each task and medication, and the office sees the visit as it happens. Then what families can see in the Family App, and how to join the care circle. Your logo sits in the bottom corner of every slide.

Use it: when you launch the Family App, then as a reminder every few months on Facebook or Instagram.

Introduction

How we use Birdie to deliver your care

We use Birdie, a care platform built for homecare, to plan your visits, record the care we give and keep the people who matter in the loop. Watch the short video to see how it works for families.

What it means for you
  • Your carer knows what matters to you before they arrive. Your care plan, tasks and medication are on their phone for every visit.
  • Your care is recorded as it happens. Carers note what they did, the tasks they completed and any medication given, during the visit, not hours later.
  • Our office sees each visit as it happens. If something isn't right, we can pick it up quickly.
  • Your information is kept safe. It's stored securely in the UK, and Birdie is certified to ISO 27001, the international standard for information security.
Family App

Stay connected with the Family App

Family members we invite can use the Birdie Family App to see visit notes, completed tasks, medication and any concerns we've shared, wherever they live. [Optional, only if your package includes it: They can also see who is visiting and when, for the next seven days.] [Optional, only if you share care plans: They can read the care plan too.]

To get started, ask us to add you to your relative's care circle. You'll get a text with a link to download the app.

Q-Score (optional)

How we track the quality of our care

We use Birdie's Q-Score to keep track of the quality of our care every day. It's a quality benchmark built in line with the CQC's categories, and it shows how we're doing now, not just at our last inspection. Our Q-Score is [score], last updated [month year].

Questions families ask

Questions families ask

Can I see how my relative's visits went?
Yes. Once we've added you to the care circle, you can read visit notes, see which tasks were completed and check medication on the Family App.

Who can see my relative's information?
Only people involved in their care, and family members they've agreed we can invite. Health professionals, such as district nurses or emergency services, can also view recent care records with a secure access code, and we're alerted every time they do. If you use the Family App, you'll only see your own relative's care.

Will I be told if something goes wrong?
Our office reviews any concern a carer raises and decides with you how to share it. If something important happens, we'll contact you directly.

Can I message the carer or change a visit through the app?
No. The Family App lets you see the care being delivered, but it doesn't send messages or make changes. To change a visit or raise anything, call us on [office phone number].

Why is my carer using their phone during the visit?
They're recording the care they've just given, so nothing relies on memory or a paper folder. It's how your care plan and visit notes stay up to date.

What if I'm not comfortable using apps?
You don't need to use the Family App. We're always happy to talk you through how the visits are going on [office phone number].
